Privacy Policy
Effective November 2, 2026
Quality Projects (the "App") is an internal web application operated by Quality First Electric SW Florida Corp ("QFE", "we", "us") for its own employees, office staff and outside accountant. It is not offered to the public. This policy explains what information the App handles, how it is used and how it is protected.
Information we handle
- Account information: name, username, role and preferred language of each person QFE gives access to. Passwords are stored only as salted hashes.
- Work and pay information: hours imported from QFE's time-tracking system, weekly reports, receipt photos and the amounts read from them, lodging requests, pay rates and weekly pay, reimbursements and adjustments.
- Project information: projects, clients, contracts, change orders and project expenses such as supplier invoices and store purchases.
- QuickBooks Online data, described below.
QuickBooks Online data
A QFE administrator may connect QFE's own QuickBooks Online company to the App through Intuit's authorization page. When connected:
- The App requests only the QuickBooks accounting permission and uses it to read QFE's company name, customers and projects, so that QFE can line up its QuickBooks projects with the projects in the App. The App does not create, change or delete anything in QuickBooks.
- QuickBooks data is used only for QFE's internal bookkeeping and project tracking. It is never sold, shared with other companies or used for advertising.
- The App keeps only the connection details (company name and company ID) and the authorization tokens, which are encrypted (AES-256-GCM) before being stored. Customer and project lists are read from QuickBooks when needed; only the identifiers required to link a QuickBooks project to an App project are kept.
- An administrator can disconnect at any time from the App, or from QuickBooks under Apps. Disconnecting revokes the authorization with Intuit and deletes the stored tokens.
- If QFE later enables more QuickBooks features (for example, reading invoices or recording expenses), this policy will be updated before they are turned on.
How we use information
Only to run QFE's business: calculating pay and reimbursements, reviewing receipts, tracking project costs and revenue, preparing payroll and accounting reports, and checking records against QuickBooks. Each person sees only what their role allows; for example, the accountant role sees only the monthly paid-expenses report.
Service providers
The App relies on these providers, which process data on QFE's behalf:
- Render hosts the App's server and database in the United States.
- Cloudflare serves the website and stores receipt photos and documents.
- Anthropic reads receipt photos and uploaded documents to extract dates, amounts and line items. QuickBooks data is not sent to Anthropic.
- Intuit provides QuickBooks Online, which QFE connects as described above.
Security
All traffic uses HTTPS. Access requires an individual account; permissions depend on the person's role, and sessions can be revoked by an administrator. QuickBooks tokens are encrypted at rest, and no one at QFE can read them in the App.
Retention
Records are kept while QFE needs them for its operations and for legal and tax record keeping. QuickBooks tokens are deleted when QuickBooks is disconnected, and the authorization expires on its own after about 100 days without use.
Your choices
People with an account can ask QFE to see or correct their information. Requests and questions about this policy can be sent to QFE at Gustavo Lima at [email protected].
Changes
QFE may update this policy; the effective date above shows the latest version.
